The Technical Part:

  • Bachelor’s or Master's Degree and a minimum of ten (10+) years of experience in areas of technical administrative support and document management, including working experience with IT systems and tools within the Pharmaceutical or Medical Device Industry. 
  • Excellent verbal/written communication skills (English and Spanish) 
  • Shift: Administrative & according to business needs.
  • Experience in:
    • Manage all aspects of project(s): planning, implementation, monitoring, completion, and follow-up.
    • Project technical information management assignments
    • Systems like: Autodesk Construction Cloud, Bluebeam Revu, Autocad/Plant 3D, Revit & GMARS/MXES or equivalent maintenance platform

AS A PIECE OF FITS, YOU WILL: (The day-to-day on the job)

  • Develop Project Information Management Plan specifying data, document, and drawing management processes.
  • Communicate PIM requirements to all impacted stakeholders: EPC firms, Vendors, Construction, Procurement, Verification/MPD Service Providers, Automation, Maintenance, Operations
  • Document and manage the flow of information between Lilly and information providers.
  • Ensures that project data, documents, and information systems are properly organized, accessible, and secure through the project lifecycle.
  • Ensure contract support personnel are adequately trained on PIM requirements
  • Manage flow of information between Lilly and A/E firm.
  • Ensure project data and documentation is delivered in accordance with GFD procedures, work instructions, specifications and project planning documents.
  • Define and manage metrics to track status of information.
  • Develop and execute PIM work plans as it relates to electronic databases (i.e., Oracle and LillyNow) and hard copy repositories.
  • Establish and execute auditing program to ensure data and documentation collection activities meet schedule and integrity expectations.
  • Work closely with Design Verification Lead and MPD Lead to ensure data and documentation needs are met in a timely manner.
  • Ensure the smooth transition of data, documentation, and drawings to the project and subsequently to the site.
  • Complete PIM project closeout documentation.
  • Assure Project Information is timely controlled, accessible and current at all project locations
  •  Review standard contracting, procurement and project management documents and procedures to ensure they include clear communication of Information Management and Document Control standards and requirements
  • Coordinate Information Technology (IT) issues associated with establishing the Project Information Management System and related IT databases and tools
  • Maintain Information Management processes including performance measurements, reporting and assessment of Contractors IM (Information Management) /DFO and determine gaps/recommendations
  • Until the Project Documents For Operations (DFO) Coordinator position is staffed, provide DFO planning and act as the primary contact point for document turnover from the contractor to the Project Team (PT) and handover to operations
  • Bring to the attention of the Project Team management any issues that could potentially impact final documentation quality, cost or schedule.
